Two tools for scheduling without email

Scheduling back-and-forth is one of the biggest time sinks in any workday. The platform gives you two tools to eliminate it, managed from Links in your sidebar.

Booking links — a shareable page where people can pick a time on your calendar and book directly. No emails. No coordination. They choose a slot, your assistant confirms it.

Scheduling polls — a group availability table where you propose time slots and invite participants to mark which ones work for them. Your assistant collects the responses and books the winner. Best for multi-party meetings where you need to find a slot that works for everyone.

Setting up your username

Before creating booking links, set your public username under Links → Settings. Your username determines your booking URL — once people have your link, changing your username breaks it. Choose carefully.

Your booking URL will be https://app.openassistant.us/book/your-username/your-link-name.

From Links → Booking, click New booking link. Give it:

  • Name — a slug that appears in the URL (e.g. 30min, intro-call)
  • Title — what people see when they visit the page (e.g. "30-minute intro call")
  • Duration — how long each booking is
  • Availability — which days and hours you're available for this type of meeting

Once created, share the link however you like — in your email signature, on a website, in a message.

What happens when someone books

When a contact visits your booking link and picks a time, your assistant:

  1. Confirms the slot is still available against your live calendar
  2. Creates the calendar event
  3. Sends a confirmation to both you and the contact

No dispatch cart — booking link requests execute automatically. You'll see the booked event on your calendar and a notification in your inbox.

Your assistant knows your booking links. Instead of manually copying a link, you can ask your assistant: "Send Alex my 30-minute booking link." Your assistant will include the correct link in the message without you having to look it up.

When someone else shares a Calendly, Cal.com, or HubSpot link with you, your assistant can read their available slots and find mutual availability — no need for them to send you times manually. See How scheduling works for the full pipeline.


Scheduling polls

Scheduling polls are group availability tables — the right tool when you need to find a time that works for multiple people, especially people without connected calendars.

How they work

Your assistant creates a poll with a set of proposed time slots and a list of invited participants. Each participant receives an invitation link and marks which slots work for them. Your assistant monitors the responses and, once it has enough information, selects the best slot and books the meeting.

You don't have to run this manually. Just tell your assistant: "Schedule a team sync with Jordan, Sam, and Taylor next week — use a scheduling poll." Your assistant will:

  1. Create the poll with reasonable time options based on your calendar
  2. Send invitations to each participant
  3. Collect responses as they come in
  4. Book the slot with the most overlap and notify everyone

Responding to a poll

Participants receive a link to a page at https://app.openassistant.us/poll/your-username/poll-name. They can mark each proposed slot as "works for me," "if needed," or "can't do it" — no account required.

Under Links → Polls, you can see all your active and completed scheduling polls. For each poll:

  • View which participants have responded and which are pending
  • See the current slot rankings
  • Add or remove slots
  • Close the poll early and finalize a time
  • Delete the poll if plans change

Your assistant handles reminders automatically — it follows up with participants who haven't responded, based on the deadline you set when creating the poll.
